Ted's Accommodation Terms and Conditions

Enacted on December 1, 2024

Guesthouse Ted's (hereinafter referred to as "the Guesthouse") establishes the following accommodation terms and conditions:

(Scope of Application)
Article 1. The accommodation contract and related agreements between the Guesthouse and guests shall be governed by the terms specified herein. Any matters not stipulated by this agreement shall adhere to applicable laws and generally established customs.


2. When the Guesthouse agrees to special provisions without contravening laws or customs, those special provisions shall take precedence over the provisions of the preceding paragraph.

(Application for Accommodation Contract)
Article 2. Those applying for an accommodation contract with the Guesthouse are required to provide the following information:
(1) Name and contact details of the guest and the payer of accommodation fees;
(2) Accommodation dates and estimated arrival time;
(3) Accommodation fees (as specified separately);
(4) Any other necessary information as determined by the Guesthouse.


2. Should a guest request an extension of their stay beyond the initially agreed accommodation dates, the Guesthouse shall treat this as a new application for an accommodation contract at the time of the request.

(Establishment of Accommodation Contract, etc.)
Article 3. The accommodation contract is deemed established when the Guesthouse accepts the application stipulated in the preceding article. However, this shall not apply if the Guesthouse proves that it did not accept the application.

(Refusal to Conclude Accommodation Contract)
Article 4. The Guesthouse may refuse to conclude an accommodation contract under the following circumstances. However, this does not mean that the Guesthouse may refuse accommodation except for cases specified in Article 5 of the Hotel Business Act:
(1) When the application does not comply with these terms;
(2) When there are no rooms available;
(3) When the applicant is likely to engage in conduct that violates laws, disrupts public order, or goes against good morals regarding their stay;
(4) When it is identified that the applicant is associated with organized crime groups or other antisocial forces;
(5) When the applicant has caused significant inconvenience to other guests;
(6) When the applicant is a patient with a specified infectious disease as defined by law;
(7) When violent or unreasonable demands are made;
(8) When the applicant repeats demands that hinder the provision of services to other guests, as stipulated in the enforcement regulations of the Hotel Business Act;
(9) When the accommodation cannot be provided due to natural disasters, facility malfunctions, or other unavoidable reasons.

(Explanation of Refusal to Conclude Accommodation Contract)
Article 4-2. Prospective guests may request an explanation from the Guesthouse if the accommodation contract is refused based on the preceding article.

(Right of Guest to Cancel Contract)
Article 5. The guest may cancel the accommodation contract by notifying the Guesthouse.


2. If the guest cancels all or part of the accommodation contract due to reasons attributable to them, a cancellation fee as per Appendix 2 will be charged.


3. If the guest fails to arrive by 6:00 p.m. on the accommodation date (or within three hours of the scheduled arrival time if specified in advance), the Guesthouse may consider the contract canceled.

(Right of the Guesthouse to Cancel Contract)
Article 6. The Guesthouse may cancel the accommodation contract under the following circumstances, except in cases specified in Article 5 of the Hotel Business Act:
(1) When the guest is likely to violate laws or public order or has engaged in such conduct;
(2) When the guest is recognized as a member of an organized crime group or an antisocial force;
(3) When the guest has caused significant inconvenience to other guests;
(4) When the guest is a patient with a specified infectious disease;
(5) When violent or unreasonable demands are made;
(6) When the guest repeatedly makes demands that hinder services for other guests;
(7) When accommodation cannot be provided due to natural disasters or other force majeure circumstances;
(8) When the guest violates regulations within the premises (limited to matters necessary for fire prevention).


2. If the Guesthouse cancels the contract based on the preceding provisions, no charges will be imposed for services not yet rendered.

(Explanation of Contract Cancellation)
Article 6-2. Guests may request an explanation from the Guesthouse if the contract is canceled based on the preceding article.

(Guest Registration)
Article 7. On the day of accommodation, guests are required to register the following information at the front desk (or confirm prior registration if completed online). However, guests who have completed registration via the web in advance are exempt from this process:
(1) Name, address, and contact information of the guest;
(2) For foreign guests without a Japanese address, nationality and passport number;
(3) Other information deemed necessary by the Guesthouse.

(Use of Guest Rooms)
Article 8. Guests may use their rooms from 3:00 p.m. to 11:00 a.m. the next morning. However, for consecutive stays, rooms may be used throughout the day, excluding arrival and departure dates.

2. Notwithstanding the preceding paragraph, the Guesthouse may allow room use outside the specified hours. In such cases, the following additional charges will apply:
(1) Up to 2 extra hours: ¥1,000 per hour (tax included);
(2) More than 2 extra hours: 100% of the room rate.

(Compliance with Regulations)
Article 9. Guests shall comply with the rules established and displayed within the premises by the Guesthouse.

(Payment of Charges)
Article 10. Accommodation fees are as per Appendix 1.
2. Payment of the fees specified in the preceding paragraph shall be made in cash or by another method approved by the Guesthouse, such as credit card, at check-in or upon request.
3. Even if the guest voluntarily decides not to stay after the room has been made available, the accommodation fee shall still be charged.

(Responsibility of the Guesthouse)
Article 11. The Guesthouse shall compensate guests for any damages incurred due to fulfillment or non-fulfillment of the accommodation contract, except in cases not attributable to the Guesthouse.

2. To address emergencies such as fires, the Guesthouse is covered by innkeeper liability insurance.

(Handling of Guest Room Unavailability)
Article 12. If the Guesthouse cannot provide the contracted room, it will seek other accommodation for the guest under similar conditions.


2. If alternative arrangements are not possible, compensation equivalent to the cancellation fee will be paid to the guest, except when unavailability is not attributable to the Guesthouse.

(Handling of Deposited Items)
Article 13. If any items entrusted by guests to the Guesthouse are lost or damaged, the Guesthouse shall compensate for the damage, except when caused by force majeure. However, cash and valuables will not be accepted for safekeeping.


2. For items brought onto the premises by guests but not entrusted to the Guesthouse, the Guesthouse shall compensate for any loss or damage resulting from the Guesthouse’s intent or negligence.

(Custody of Guest's Baggage and Belongings)
Article 14. If a guest's baggage arrives at the Guesthouse prior to their stay, the Guesthouse will only be responsible for its safekeeping if prior consent has been obtained. The baggage will be handed over to the guest at check-in.


2. If a guest leaves behind baggage or belongings after check-out, and the owner is identifiable, the Guesthouse will contact the owner and follow their instructions. However, if no instructions are provided or the owner is unidentifiable, the Guesthouse will hold the items for seven days from the date of discovery before turning them over to the nearest police station.


3. The Guesthouse’s liability for custody of guests' baggage and belongings in the cases described in the preceding paragraphs shall be governed by the provisions of Article 13, Paragraph 1 for the first case and Paragraph 2 for the second case.

(Parking Responsibility)
Article 15. The Guesthouse only provides space for parking and is not liable for vehicle management. However, if damage occurs due to the Guesthouse's intent or negligence, compensation will be provided.

(Guest's Liability)
Article 16. Guests shall compensate for any damage caused to the Guesthouse due to intentional or negligent acts.

(Cancellation Fees)
Article 17. Cancellation on the day before accommodation: 50% of the accommodation fee
Cancellation on the day of accommodation: 100% of the accommodation fee
No-show: 100%
*Different conditions may apply for reservations made through travel agencies, group bookings, and specific accommodation plans.

Remarks:
1. The basic accommodation fee is as per the tariff posted on the rate schedule.
2. Child rates apply to elementary school children and below. When bedding equivalent to an adult’s is provided, 50% of the adult rate will be charged. Co-sleeping is not permitted. Accommodation is free for infants (preschool children) when no bedding is provided.

(Note)

1. The percentage indicates the percentage of the cancellation charge based on the basic accommodation fee.
2. If the number of contract days is shortened, a penalty for one day (the first day) will be charged regardless of the number of days shortened.
